What we collect and why
Ball tickets: the full name, dietary requirement and any allergy notes for each guest, plus the booker's email address and mobile number. We collect this to run the event — seating, catering and contacting you about your booking. The lawful basis is performance of a contract.
Raffle tickets: the buyer's name, email address and mobile number, to issue ticket numbers, comply with lottery rules and contact winners. The lawful basis is performance of a contract, and legal obligation for the records we must keep under our small society lottery registration — which means we may need to retain some raffle records even if you ask us to delete them.
We do not add anyone to a marketing list without a clear, separate opt-in.
Who we share it with
Guest names and dietary information are shared with the venue (Village Hotel Leeds North) for catering. Payment is processed by Stripe, who receive the details needed to take payment. We never sell your data, and we don't share it with anyone beyond those named here.
Running the website itself involves two further services that necessarily see visitor information. Cloudflare delivers and protects the site, and processes the IP address of everyone who visits. Google Fonts supplies a typeface used across the site — your browser requests it directly from Google, so Google receives your IP address. Neither is used to identify you, and neither receives your booking or raffle details.
Cookies
We don't use advertising or analytics cookies, and there is nothing here that follows you around other websites. When you book, a short-lived session cookie keeps your form secure while you complete it. Cloudflare sets its own cookie to tell genuine visitors from automated traffic. Both are necessary for the site to work.
How long we keep it
We keep booking and raffle data for up to twelve months after the event — long enough to reconcile payments, file our lottery return with Bradford Council, answer anything arising from it, and evidence our payment to Mind — then delete or anonymise it.
Your rights
You can ask us at any time to see, correct or delete the personal data we hold about you — email [email protected]. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
